About the department
As a boarding clerk/ass. operator (water clerk) you work in the captain’s room. This department is responsible for clearing ships in and out. As a department, we arrange everything for incoming and outgoing ships and we take care of everything for various shipping companies and clients.
Approximately 60 colleagues work in this department: 10 colleagues in Amsterdam, 50 colleagues in Schiedam and 20 colleagues in Terneuzen. The captain’s room of Amsterdam reports to the Marine Operations manager. Your colleagues have years of experience within the maritime industry in an international context. They are pleased to guide you through this function.
Professional Activities
In this position, you board ships in varying shifts (24/7) for consultation with the captain about the efficient operational handling in a port of call. Together with colleagues, you are in constant contact with various (international) stakeholders to provide optimal service to our customers. You work according to a fixed schedule where you have 1 time a month evening shift and 1 time a month weekend shift.
A boarding clerk/Ass. operator is the touching point between a shore and a ship of a particular shipping company or a client. In this position, you are the main communication officer who bears responsibilities to arrange everything before a ship enters the port. So you have a lot of contact with the crew of a ship. Together with the crew, you determine where the ship will be moored in the port and you process all the necessary entry documents. This supposes visa arrangements for the crew at customs or arranging for a ship to be supplied. If a ship enters a port, you inform the authorities so that they can check the crew or the cargo in time.
No day is the same! In your role, you make agreements with your colleagues and the account manager about the effective implementation of the work and you jointly determine the priorities. You anticipate possible problems and look for (better) alternatives to achieve an improvement in service quality. Effective verbal communication and good information transfer is essential.
Responsibilities
- Inward and outward clearance of ships according to instructions from customs and authorities;
- Discuss port operation/rotation with the captain upon arrival and departure;
- Coordinating information flows between ship, terminal, port authorities, customs and immigration authorities, service providers and general suppliers;
- Representing the interests of the ship and/or cargo owner in accordance with set guidelines and customer instructions;
- Drawing up a cost budget and checking whether requested advances have been received;
- Ensuring a safe, environmentally conscious and as efficient as possible stay for the ship and crew in the port;
- Ensure reporting of activities related to the ship’s stay in port, in the context of possible demurrage claims.
Professional Qualifications
- MBO-4 level diploma preferably in Port Logistics or similar;
- At least several years of experience as a Waterklerk (Boarding clerk / Ass. Operator) or other relevant experience in the maritime industry (or transport/logistics);
- Driving license B;
- Good mastery of the Dutch and English language in word and writing;
- Affinity with Microsoft Office 365;
- Strong commercial, analytical, administrative skills;
- You have an eye for detail and capable of multitasking.
